How it works

Set The Date helps you cut through group chat chaos so you can actually get a date in the diary. This is How it Works, You create a simple date poll, share it in WhatsApp or email, and your friends tap Best / Maybe / No. No logins for them, no new app to learn for you.

Below is how it all fits together, from the core flow through to meals, nights out and trips.

The core flow in 3 simple steps

1. Create your event poll

  • Give your event a title and location
  • Pick a few dates that could work
  • Set an optional voting deadline so people do not drift

2. Share your link anywhere

  • Copy your poll link or use the built-in share buttons
  • Drop it straight into WhatsApp, email, SMS, Slack or Discord
  • Friends do not need an account – they just click and vote

3. Everyone votes Best / Maybe / No

  • Each person marks which dates are Best, which are Maybe, and which are No
  • The countdown keeps things moving so people reply on time
  • You see a clear recommended date and can lock it in when you are ready

That is the core of Set The Date. On top of this, you can choose different flows depending on what you are organising.

General events – drinks, parties, catch ups

Use the General event flow for most everyday plans like:

  • After work drinks
  • Birthday meet ups
  • BBQs and house parties
  • Parents meetups and playdates

How it works

  1. Describe your event
    • Add a simple title like “Friday drinks in town” or “BBQ at ours”
    • Drop in the area or venue ideas so people know roughly where it is
  2. Choose your possible dates
    • Tap to add evenings or weekend slots that could work
    • Set a deadline if you want the group to decide by a certain day
  3. Share, vote, decide
    • Share your link in WhatsApp or email
    • Everyone taps Best / Maybe / No on each date
    • The results page shows which date has the strongest support so you can set it and move on

Perfect when you just need a clear yes-or-no answer on “when are we doing this?”

Meals and nights out – breakfast, lunch, dinner or drinks

The Meals and Drinks flow is built for anything that involves a table or a bar:

  • Team lunches and office socials
  • Pre Christmas dinners and festive drinks
  • Bottomless brunch, coffee catch ups, date nights

Here you are not just picking a day – you are also setting the vibe.

How it works

  1. Choose the type of outing
    • Mark it as Breakfast, Brunch, Coffee, Lunch, Dinner or Drinks
    • This tells people up front what to expect and roughly what time of day
  2. Add dates and meal slots
    • Pick your possible dates
    • Set a default option like “Friday dinner” or “Thursday drinks”
    • For trickier weeks, you can mix and match, for example:
      • Thursday – drinks
      • Friday – dinner
      • Saturday – lunch

Share your poll with the group

  • Send the link from your venue email, WhatsApp group or work chat
  • People see both the date and the meal type, then vote Best / Maybe / No

Pick the best date and plan the booking

  • Set The Date highlights the strongest combination of date and meal slot

  • You lock it in, tell the group, then book the table knowing the timing suits most people

This flow is ideal for office organisers and friend groups who are tired of “are we doing dinner or just drinks?” looping around forever.

Trip planner and holiday heat map – weekends and longer breaks

For weekends away and holidays, you can switch to the Trip planner.

This is for:

  • Long weekend city breaks
  • Villa stays and group holidays
  • Ski trips and beach trips
  • Hen and stag weekends

Rather than just picking single evenings, you choose a trip window and let people mark when they are free. Set The Date then builds a holiday heat map that shows where everyone’s availability overlaps, so you can:

  • See the best travel window for the whole group
  • Compare shorter and longer options
  • Choose dates with confidence before you book flights or accommodation

We will have a separate “How the trip planner works” page with full walkthroughs and screenshots, because it is a big upgrade for anyone who regularly plans group trips.

What your friends see

No matter which flow you use:

  • Friends open your link on their phone
  • They instantly see the event name, location and options
  • They tap Best / Maybe / No (or mark days they are free on a trip)
  • They are done in under a minute, with no account and no password

You stay in control, Set The Date quietly handles the messy part, and your plans actually happen instead of getting lost in chat.
